Trip cancellation or changes by us

Day/half day trips/sessions:

Trips are very rarely cancelled by us as Cornwall and our overseas expedition locations are chosen because they offer so many options when it comes to sea kayaking. However, occasionally it may be necessary for us to cancel a trip due to dangerous or unsuitable conditions. Expedition Paddler Ltd will notify the customer as soon as is practical/possible: sometimes this may mean no prior warning can be given and the trip may be cancelled on the day of the trip; we retain the right to cancel a trip at any time for safety reasons. An alternative activity or re-booking onto another available date will be offered. All decisions will be made with safety as the number one precedence and explained in full to the customer. In the instance of customer safety or where unsuitable environmental conditions exist and where an alternative activity is offered, no refunds will be made by Expedition Paddler Ltd.

Multi day trips/sessions:

Multi day trips require a minimum of 2 participants to run. If this number is not reached within 4 weeks of the start date of the trip then the trip will be cancelled and a full refund or alternative date will be offered.

If we have to make significant changes to any trip we will inform you as soon as is reasonably possible. These may include a significant change of location, changing to a lower standard of accommodation or changes to start and finish times of a trip. In such circumstances, we will offer you the chance to cancel and will refund any trip fees that you have paid.

Trip cancellation or changes by you

Full/half day trips:

If cancelled within 30 full days before the start of the trip, then you will be charged the full trip fee.

If cancelled within 60 but more than 30 full days before the start of the trip, we will credit you with a voucher for trip fees paid to be used on another trip minus the deposit amount.

If cancelled more than 60 full days before the start of the trip, you will be entitled to a refund of the trip fee minus the deposit amount.

If you request any changes to the date or time of the trip within 30 full days before the start of the trip, Expedition Paddler Ltd may charge the full trip fee. Any changes to the date or time of a trip are subject to availability and will be offered at the discretion of Expedition Paddler Ltd.

Multi day trips:

If cancelled within 60 full days before the start date of the trip, then the full trip fee will be charged.

If cancelled more than 60 days from the start of your trip, then 25% of the trip fee will be charged; this is because history has shown that it is seldom possible to replace your position on the trip/expedition at such short notice.

Trip cancellation or changes due to Force Majeure Event

Notwithstanding any other condition set out above, if either we or you need to cancel a trip as a result of the occurrence of a Force Majeure Event or if significant changes to a trip are required to be made as a result of the occurrence of a Force Majeure Event, an alternative activity reasonably comparable to the original trip or re-booking of the trip, in either case to take place on an available date within 365 days after the original start date of the trip, will be offered where possible at or around the same cost of the original trip. “Force Majeure Event” means any of the following events: cyclone, flood, storm, hurricane, earthquake or other natural disaster, epidemic or pandemic, war, invasion, revolution, insurrection, uprising, civil war or terrorism.

Refund payments

In relation to any refunds referred to above, Expedition Paddler Ltd will only ever refund payments made by you towards trip fees. Any payments made by yourself or by us on your behalf (and at your prior request) to third parties in relation to the trip (including, without limitation, in respect of travel, accommodation, or equipment hire/purchases; such amounts, “Third Party Payments”) will not be refunded by us. In case of cancellation, we would also be entitled to be reimbursed by you for any Third Party Payments made by us on your behalf (and at your prior request), and would be entitled to deduct the cost of any such Third Party Payments made by us on your behalf from the amount of any trip fees refundable by us to you in accordance with the above conditions. We strongly recommend therefore that you take out personal travel insurance to cover these costs.
